2025 Tax Season – Super Important Email

We hope this email finds you safe and well as we head into the new year. The tax team at MTM Financial Group is committed to providing you with timely and professional tax preparation services. You are one of over 1,000 valued tax clients and turnaround time will depend on a few factors: 1) the date that you provide us with your complete tax documents and 2) how organized your documents are. Reading the information provided and following our guidelines and requests, will ensure that your returns are processed, returned to you and filed in the most efficient and timely manner possible.

PLEASE NOTE: Due to the changes in tax laws, we had to make significant changes to our MtM forms. The questionnaire is now a 5-page packet. This new format allows us to gather the information we need prior to starting your returns, rather than having to contact you for answers along the way. We strongly encourage you to read and complete these documents at home if possible, rather than waiting to complete them in our office.

TAX TEAM WISH LIST

The Tax Team truly loves what we do, but we have a tremendous amount of work to tackle in a short period of time. Following are a few requests that would really help us out:

  • Please read this entire document and provide all the information that we request, along with your tax documents: Engagement LetterQuestionnaire Packet and an updated Driver’s License. These forms need to be completed every tax year and we always need a valid driver’s license on file.
  • PLEASE NOTE: the Sciota Office phone number is 570-300-4984.
  • Please remove your documents from their sealed mailing envelopes.
  • Please DO NOT staple or tape your documents together.
  • Please refrain from sending your tax documents in binders, boxes, or any oversized cases of any kind. These types of containers may be of great assistance to you while organizing your documents, but please understand that we have an organized process and limited space for your tax documents to flow through. Oversized containers and binders greatly disrupt that process.
  • Thank you for understanding and helping us to get your returns completed and back to you quickly!
MtM Financial Required Documents

We will not begin to prepare your taxes until you sign our engagement letter AND complete our questionnaire.

If your driver’s license has expired since last tax season, we will need an updated copy. Complete each form in its entirety, sign, and return them to us along with your tax documents. These forms are also available on the MTM Website under the Tax Tab and in the Public Documents Folder in Smart Vault. We are also happy to mail the documents to you, or you can stop by the office to pick up copies.

How to get us your documents

1) Drop them off at our office: M-F, 9:00-4:00. For after hour drop off only, you may use the mail slot in our back door at the Bethlehem location or the locked box by the front door at the Sciota location. Please put everything in a sealed envelope to keep all your documents together. Drop offs MUST include the completed MtM forms listed in the required documents section.
2) SmartVault: This is a digital (paperless) platform that is a very efficient and secure way to get us your tax documents. If you are new to SmartVault, click here to see if it is appropriate for your needs. If you choose to use SmartVault, click here to see the updated guidelines for uploading your 2025 tax documents. To our current Financial Advisory Clients: SmartVault is not the same as the Advyzon client portal, which is used on the financial side of the business. These are two different applications; each designed specifically for the needs of the business it supports.
3) Mail them to our office: Mail with tracking to: MtM Financial Group, LLC, 4504 Hanoverville Road, Bethlehem, PA 18020. Mailed documents MUST include the completed MtM forms listed in the required documents section.

How NOT to get us your documents: We cannot accept tax documents via text message or email.

Direct Deposit/Withdrawal of government refunds/payments

The quickest, most secure and efficient way to receive your tax refund is via direct deposit. Opting to receive a paper check could delay your refund up to 6 weeks or more. You can have refunds and/or the amount owed to the government directly deposited/withdrawn from your bank account. If you would like to be set up for automatic deposits/withdrawals, you must complete the Direct Deposit Form and bring a voided check if possible. This form will need to be completed every tax year, even if we have your banking information on file.

PLEASE NOTE: DIRECT DEPOSIT CAN NEVER BE USED TO PAY YOUR TAX PREP FEE.

Virtual Currency/Cryptocurrency/Digital Assets

You will need to review and sign the Digital Asset/Cryptocurrency Engagement letter, in addition to the standard engagement letter, to ensure that your return is properly prepared. You must provide form 8949 for all crypto transactions.

Estimated Tax Payments

You are responsible for providing accurate information for your estimated tax payments. This information is imperative to avoid notices and corrections to your returns. If you made estimated payments for 2025, but do not know when, or for how much, you can locate the information here:

Federal Payments: go to IRS.gov and select Get Your Tax Record or call 800-908-9946 to order a copy of your 2025 transcript.

PA Payments: go to mypath.pa.gov and select Track My Payments and Credits

Residential Energy & Clean Vehicle Tax Credits

We will require a sales receipt and form 15400 (for vehicle purchases) and a Certificate of Product Ratings and installation receipt (for residential purchases). Go to energystar.gov to confirm that your purchase qualifies.

PLEASE NOTE: You can only benefit from energy credits if you have taxable income.

Extensions

Please be aware that there will be an additional fee if you choose to file an extension. We will NOT automatically file an extension for you. If you need to file an extension, you MUST notify us.

Extensions are for extended filing only – if you owe money to the government, you will need to pay prior to April 15th to avoid penalties.

QCDs (Qualified Charitable Distributions)

A QCD allows individuals who are at least 70½ years old to donate up to $108,000 to one or more qualified charities directly from a taxable IRA, instead of taking their required minimum distributions. If you made a QCD, please send us proof of the distribution, i.e. the letter from the institution that explains the distribution. Your tax form does not show the QCD. You can contact your IRA administrator and ask them for proof.

Roth Contributions

Please inform us if you make Roth Contributions – even though they are not tax deductible, they should be reported on your tax returns. Roth Contributions are subject to income limits and if you are over those limits, you may be subject to penalties. However, you can correct this by removing the contributions prior to filing your tax returns.

Payment for Tax Prep Services

Is due upon presentation of your tax return. Failure to pay at that time will result in the addition of service fees. Please refer to the engagement letter for further detail. You can pay via credit card, check or cash. If paying (remotely) by credit card, you will need to complete the Credit Card Authorization Form or use the QR code on your invoice. PLEASE NOTE THAT DEPOSITS DURING TAX SEASON CAN TAKE UP TO 30 DAYS. If you choose to pay via check, respectfully refrain from inquiring about the deposit status until at least 30 days after you have made the payment.
